Position Overview

Job Title: Senior Operations Manager

Location: Fully Remote — Must be based in Lagos, Nigeria (with flexibility for occasional in-person engagements)

Reports To: President/Founder (C-Suite Executive)

Employment Type: Full-Time

Experience Required: Minimum 3–4 years supporting C-suite executives in fast-paced, high-growth, or startup environments

Compensation: Competitive and commensurate with experience (disclosed during final interview stage)

Why This Role Exists

The ASN Founder operates across multiple high-impact ventures simultaneously — leading ASN, writing a book, speaking at global conferences, engaging policymakers, building partnerships, and growing a public brand. This role exists to ensure that strategy becomes execution, that nothing falls through the cracks, and that the Founder’s time and energy are focused exclusively on high-value leadership.

This is not a traditional assistant role. This is a senior operational leadership position requiring someone who can think two steps ahead, manage complexity with calm precision, and act as a trusted extension of the Founder across all workstreams.

Role Summary

The Executive Operations Assistant will be the single point of operational accountability for the Founder — managing executive operations, driving cross-functional projects, coordinating stakeholders across government, private sector, and international organizations, and ensuring ASN operates with the structure, discipline, and velocity of a world-class organization.

Core Responsibilities1. Executive Operations & Strategic EA Support

• Own and optimize the Founder’s calendar, scheduling, and time allocation strategy — ensuring every hour is spent on highest-impact activities

• Manage the Founder’s inbox (email, WhatsApp, LinkedIn DMs) with executive-level triage: prioritize, draft responses, follow up, escalate

• Prepare the Founder for every meeting, call, and engagement: agendas, briefing docs, talking points, background research

• Capture meeting notes, decisions, and action items — then relentlessly track completion

• Manage travel logistics, event coordination, and speaking engagement preparation

• Serve as the Founder’s gatekeeper and trusted representative in all external interactions

2. Operations, Systems & Project Management

• Design and maintain ASN’s operational infrastructure: task trackers, project dashboards, SOPs, reporting cadences, and accountability systems

• Drive multiple concurrent projects to completion across partnerships, events, content, policy engagements, and the Founder’s personal ventures (book, speaking, brand)

• Implement and enforce a weekly operating rhythm: planning sessions, check-ins, weekly reviews, and progress reports

• Build reusable templates, checklists, and playbooks for recurring processes (events, stakeholder outreach, content workflows, vendor management)

• Identify operational bottlenecks and inefficiencies — propose and implement solutions without being asked

3. Stakeholder & Partnership Coordination

• Manage relationships with a diverse stakeholder ecosystem: government officials, regulators, central bank contacts, international NGOs, fintech companies, investors, sponsors, speakers, media, and vendors

• Maintain a comprehensive stakeholder tracker/CRM system with contact details, relationship status, last touchpoint, follow-up actions, and strategic notes

• Draft and send professional correspondence on behalf of the Founder — invitations, follow-ups, thank-you notes, proposals, and briefing documents

• Coordinate multi-party engagements: roundtables, private briefings, partnership negotiations, and policy convenings

• Ensure no relationship goes cold — proactive follow-through is essential

4. Events & Program Management

• Lead operational planning and execution for ASN events: summits, roundtables, webinars, private briefings, and conference appearances

• Manage end-to-end event logistics: speaker coordination, venue/vendor management, run-of-show development, registration, tech setup, and post-event follow-up

• Support the Founder’s speaking engagements at external conferences: slide preparation, bio/headshot submission, travel coordination, session prep

• Produce post-event deliverables: summary reports, media clips, attendee follow-ups, sponsor acknowledgments

5. Communications & Content Execution Support

• Manage the content/social media posting workflow: content calendar, approvals pipeline, scheduling (LinkedIn, X/Twitter), community engagement monitoring

• Coordinate with content creators (writers, designers, video editors) to ensure consistent output and brand quality

• Support the Founder’s personal brand activities: book project coordination, podcast preparation, article drafts, speaking engagement content

• Monitor and escalate media mentions, press inquiries, and reputational risks

6. Confidentiality, Trust & Executive Judgment

• Handle highly sensitive information with absolute discretion: investor communications, partnership negotiations, policy discussions, personal matters

• Exercise sound judgment in ambiguous situations — know when to act independently and when to escalate

• Maintain secure storage and handling of all documents, credentials, and confidential communications

• Serve as a trusted sounding board for the Founder on operational decisions

Required Experience & Qualifications:

• Minimum 3–4 years of experience in executive support or operations management — specifically supporting C-suite executives or founders

• Demonstrated experience in startup or high-growth environments where ambiguity, speed, and resourcefulness are required daily

• Proven track record of managing multiple complex projects simultaneously with measurable outcomes

• Strong experience coordinating stakeholders across government, private sector, and international organizations

• Excellent written and verbal communication skills in English — professional, diplomatic, and executive-ready

• Deep proficiency with productivity and collaboration tools: Google Workspace, Microsoft Office, Notion/Asana/Trello/Monday.com (or equivalent), Slack, Zoom, Calendly

• Experience supporting events (virtual and in-person): planning, speaker management, vendor coordination, and post-event reporting

• Experience with social media management workflows and content coordination is a strong plus

• Must be based in Lagos, Nigeria with reliable internet and the ability to support occasional in-person engagements

Preferred (Not Required):

• Experience in fintech, blockchain, policy, or Pan-African organizations

• Familiarity with CRM tools (HubSpot, Airtable, or similar)

• Experience supporting a public-facing founder or thought leader (book projects, media, speaking circuits)

• Background in communications, public relations, or stakeholder engagement

Key Performance Indicators (KPIs)Monthly Metrics:

• 90%+ on-time completion rate for executive action items and project milestones

• 100% meeting readiness: agendas, pre-reads, and follow-ups delivered on time for every engagement

• Stakeholder responsiveness: all external communications responded to within 24 hours (or escalated with a plan)

• Zero dropped balls: no missed deadlines, lost follow-ups, or forgotten commitments

• Weekly operations report delivered every Friday by 5pm
