Position Summary
We have an exciting opportunity to join our team as an Administrative Coordinator.
This position is responsible for providing support for and coordination of all activities related under the Education Division of the Ronald O. Perelman Department of Emergency Medicine at the NYU Grossman School of Medicine. The position reports to the Residency Program Manager and the Assistant Director of Education Administration and interacts with relevant personnel within the department (including, but not limited to, the Program Directors, Associate Program Directors, and other members of the Departments Education Mission), NYU Langone Health, and affiliates.
Job Responsibilities
- Residency and Fellowship Programs Support
- Provide calendar support to the Residency Program Director
- Provide administrative support to the Residency Program Director
- Verifications
- Coordinate reimbursements and requisitions for education related expenses
- Liaise between residency program leadership and residents for scheduling semiannual
- Provide assistance to other members of the EM Education Team as needed
- Evaluations
- Assist the residency coordinator with the distribution of resident
and peer evaluations
- Recruitment
- Assist with the coordination of fellowship and residency program
ii. Scheduling interviews
iii. Providing pre-interview and day-of logistic (e.g. room assignments) and
technical support
- Assist and attend all Education Programs graduations
- Provide assistance during graduation and onboarding seasons, including but not
- onboarding, advancement, and graduation processes
iii. Enrolling incoming trainees in required training courses/modules and
systems
iv. Gathering information from graduating trainees (contact information, jobs,
etc.)
- Assist in the preparation of documentation for periodic program pre-accreditation
- Departments Education Initiatives:
- Manage Emergency Departments Education Calendar
- Manage and coordinate Next Week in Education emails to the department
- Coordinate and provide administrative support for Faculty and Fellow
- Coordinate and manage Grand Rounds
- Coordinate Education Leadership Meetings
- Assist with regularly scheduled CME activities, included, but not limited to:
- Submission of applications to the CME Office
iii. Collection of documents from Grand Rounds speakers
- Meetings
- Manage room scheduling for all educational initiatives in the department
Leaderhsip Meetings)
- Attend weekly Residency Leadership Meetings
- Attend weekly meetings with Program Director
- Record Keeping
- Employment verifications
- Assist in the maintenance of records on trainees and graduates.
- Compose jury duty letters and provide to trainees
- Other duties as assigned
To qualify you must have a Bachelor's Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.
Preferred Qualifications
Work experience in an ACGME-accredited residency/fellowship program and/or within an academic medical center
Experience with New Innovations (residency management system)

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,300.00 - $80,136.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
