THE OPPORTUNITY
We’re seeking a polished, intuitive Executive Administrative Assistant to serve as a trusted right hand to our CEO and President. This role is ideal for someone who thrives behind the scenes, anticipates needs before they’re voiced, and takes pride in creating order, warmth, and flow—both for executives and within the office environment.
You’ll balance high-level executive support with hands-on office leadership, ensuring our West Loop office operates seamlessly and reflects the spirit of our brand.
What You’ll Do
- Manage complex calendars, meetings, and travel for senior executives
- Act as a discreet gatekeeper and liaison with internal and external partners
- Prepare presentations, agendas, and executive materials
- Oversee day-to-day office operations and vendor relationships
- Create a welcoming, polished office experience for employees and visitors
- Support internal events, onboarding, and culture-building moments
- This role will evolve with the organization. The responsibilities outlined are foundational, and the position may take on additional duties to support the growing needs of Aparium.
- 3–5+ years supporting senior executives in a fast-paced environment
- Exceptional organization, discretion, and attention to detail
- Strong communication skills and a hospitality-driven mindset
- Comfort juggling shifting priorities and staying several steps ahead
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Salary: $85,000–$100,000
