About the Role

We are seeking an intermediate Project Administrator to join our Calgary office. This is a fully in- office position supporting a dedicated, fast-paced team to deliver projects on time. You will be involved in project setup, document formatting, proposal preparation, and more. As part of a collaborative team, you’ll have the opportunity to work across multiple departments and contribute to exciting, impactful projects.


Key responsibilities include, but are not limited to:

  • Prepare and format construction document packages
  • Assist with project setup/closeout and proposal completion
  • Proofread, format, and compile documents for various project stages
  • Assist with project and resource planning
  • Liaise with Marketing, Finance, Designers, Engineers, and other Project Administrators
  • Make a great first impression of AES with clients, guests and vendors
  • Procure office supplies and equipment as required
  • Assist with the onboarding and offboarding of team members
  • Assist with special projects and tasks such as organizing internal meetings, client Lunch & Learns, etc.
  • Other administrative duties as needed


Our Must Haves:

  • Bachelor’s Degree in Business Administration or equivalent
  • Experience in proposal coordination and preparing RFP responses
  • Prior administrative support experience, preferably in the A/E/C industry
  • Strong document proofreading, formatting, and editing skills
  • Proficiency with Microsoft Office Suite and PDF editing tools
  • Ability to adapt to company-specific standards and procedures
  • Excellent communication and organizational skills
  • Ability to work well in a team and meet deadlines in a fast-paced environment
