Position Summary

We are seeking a New Hire / Onboarding Manager for Patient Experience to coordinate and oversee the onboarding and nesting experience for all Patient Experience team members, ensuring operational readiness and a successful transition to the production environment. Reporting to the Sr Manager of Customer Success, this role partners closely with trainers, learning facilitators, IT, and operational leadership to manage onboarding logistics including equipment delivery, classroom readiness, system access, and completion of all onboarding requirements. The New Hire / Onboarding Manager creates, maintains, and monitors onboarding checklists and readiness processes to ensure new hires are fully prepared before going live on the production floor, while continuously improving onboarding workflows and the overall new hire experience through proactive coordination, communication, and issue resolution.

Key Responsibilities

  • Onboarding Coordination & Program Management Coordinate and oversee onboarding activities for all Patient Experience team members, including scheduling, onboarding timelines, equipment shipment tracking, classroom readiness, and completion of all operational and IT onboarding requirements
  • Nesting Program Oversight Partner with trainers and learning facilitators to support and monitor the nesting period, ensuring new hires receive the guidance, resources, and support needed to successfully transition into production responsibilities
  • New Hire Readiness & Checklist Management Create, maintain, and audit onboarding and production readiness checklists to ensure all new hires meet operational, system, and training requirements prior to joining the production floor
  • Cross-Functional Collaboration Work closely with leadership, IT, training, workforce management, and operations teams to resolve onboarding issues, coordinate resources, and ensure a seamless new hire experience
  • Process Improvement & Operational Support Identify onboarding process gaps and opportunities for improvement, helping to streamline workflows, improve communication, and enhance the overall onboarding and nesting experience for new team members

Qualifications

Education & Licensure

  • High School Diploma or equivalent; Pharmacy Technician Trainee License; must obtain Certified Pharmacy Technician License within 1 year of hire (Required)
  • Certified Pharmacy Technician (Preferred)

Experience

  • 2 to 4 years of experience in onboarding coordination, training support, workforce operations, healthcare operations, customer service operations, or a related operational support role (Required)
  • Experience collaborating cross-functionally with departments such as IT, training, operations, human resources, or workforce management (Required)
  • Proven ability to manage multiple priorities, timelines, and operational tasks in a fast-paced environment (Required)
  • Experience creating, maintaining, and auditing onboarding documentation, checklists, or operational workflows (Required)
  • Strong experience communicating with frontline staff, leadership, and support teams to resolve onboarding or operational issues effectively (Required)
  • Experience in healthcare, patient experience, contact center, or high-volume customer support environments (Preferred)
  • Experience coordinating onboarding logistics, including scheduling, equipment deployment, system access, and readiness tracking (Preferred)
  • Experience identifying process gaps and contributing to onboarding or operational process improvements (Preferred)

Knowledge, Skills & Abilities

  • Strong knowledge of onboarding coordination, employee readiness processes, and operational support workflows (Required)
  • Strong customer service mindset with the ability to support a positive and seamless new hire experience (Required)
  • Excellent communication and collaboration skills with the ability to work effectively across training, IT, operations, and leadership teams (Required)
  • Strong problem-solving skills with the ability to proactively identify and resolve onboarding or operational issues (Required)
  • Ability to manage multiple onboarding timelines, priorities, and logistics in a fast-paced environment (Required)
  • Ability to create, maintain, and audit onboarding checklists, documentation, and readiness tracking tools (Required)
  • Knowledge of healthcare operations, patient experience environments, or contact center operations (Preferred)
  • Experience supporting nesting or transition-to-production programs for frontline teams (Preferred)
  • Ability to analyze onboarding trends and recommend process improvements (Preferred)
