POSITION TITLE: Office Assistant REPORTS TO: Manager of People & Administration
CATEGORY/FLSA STATUS: Part Time- Non Exempt ADDRESS: 304 E Vickery, Fort Worth Texas
Schedule: Approximately 25 hours per week Hourly Rate: $20 per hour
Position Summary
The Office Assistant supports the day-to-day operations of The YouthVantage Alliance and each of its lines of service, Girls Inc. of Tarrant County, Tarrant County Kids, and Vantage Point, by maintaining an organized, welcoming, and efficient office environment. This role provides administrative, clerical, and logistical support that benefits Girls Inc. of Tarrant County, Tarrant County Kids, and Vantage Point. The Office Assistant helps ensure smooth internal operations so leadership and program staff can remain focused on serving youth and families.
Essential Duties And Responsibilities
- Front Office & Administrative Support
- Welcome visitors, partners, vendors, and guests in a professional and friendly manner.
- Answer phones, route calls, and respond to basic inquiries.
- Receive and distribute mail, packages, and deliveries.
- Prepare documents, copies, scans, filing, labels, and mailings.
- Maintain orderly office records and filing systems.
- Maintain clean, organized, and professional common spaces, meeting rooms, and office supply areas.
- Monitor and reorder office supplies and materials.
- Coordinate service requests, maintenance appointments, and vendor visits.
- Assist with office equipment troubleshooting and supply needs.
- Prepare packets, binders, signage, and materials for meetings, trainings, board meetings, and events.
- Assist with onboarding logistics such as workspace readiness, supply setup, and new hire materials.
- Support calendar coordination and meeting logistics as assigned.
- Provide clerical support to leadership and departments as needed.
- Assist with preparation of program materials and supply kits.
- Help organize event inventory, giveaways, registration materials, and signage.
- Support seasonal campaigns and special projects.
- Help maintain storage areas and inventory systems.
- Coordinate internal distribution of supplies to sites or staff when needed.
- Run occasional local errands such as post office, supply pickup, or deliveries. Qualifications
- High school diploma required; associate degree or additional training preferred.
- Minimum 1 year of administrative, clerical, office, or customer service experience preferred.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office and Google Workspace.
- Friendly, professional communication skills.
- Dependable, punctual, and service-oriented.
- Ability to work independently and manage routine priorities.
- High school diploma required; associate degree or additional training preferred.
- Minimum 1 year of administrative, clerical, office, or customer service experience preferred.

PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT:
This position requires the ability to operate phones, computers, and other office equipment, and the physical ability to perform light lifting. This person must be able to communicate effectively with program participants. Work is typically performed in an office or classroom setting, and may involve standing,
stooping, bending, and walking. However, the agency will make accommodations when necessary. This person may be required to travel to various locations throughout Tarrant County. Generally, the working conditions have little or no exposure to extremes in safety hazards or hazardous materials.
