The Academic Coordinator will be responsible for providing primary administrative and programmatic support for faculty, staff and administrators in the Department of Bio-Medical Sciences and College of Osteopathic Medicine. This role includes supporting faculty and departmental activities. The coordinator in this position will maintain and update student-facing digital platforms for course and exam administration, play an integral role in supporting student academic development and professional growth across the preclinical curriculum, and also provide daily operational support and fiscal responsibilities for the department. The coordinator should be detail-oriented, organized, reliable, manage time effectively, solve problems, complete tasks accurately with minimal supervision, and able to maintain confidential student records.

Essential Duties And Responsibilities

Course administration: 70%

  • Perform duties for didactic courses in the DO program by working closely with respective faculty course directors, lecturers and administrators.
  • Utilize Blackboard learning management system to maintain course documents and learning materials for student and faculty access.
  • Assemble, proctor, and grade exams through Examsoft, and administer individual or group student exam reviews.
  • Troubleshoot minor technology issues with Examsoft, Blackboard or lecture-capture software as needed.

Organization and Management: 10%

  • Develop and maintain organized filing systems for digital or physical records, reports and correspondence.
  • Generate payroll information
  • Order and maintain office and academic supplies
  • Prepare, submit and track internal requests for purchases.

Fiscal Procedures: 5%

  • Control and ensure expenditures in keeping with allocations.
  • Maintain records of general supply orders and expenditures, audit and reconcile monthly cost center reports.
  • Maintain records of faculty expenses (professional fees and subscriptions, travel, reimbursements, etc.)

Systems Management: 5%

  • Maintain program/department systems inventory.
  • Recommend and evaluate equipment and software.
  • Submit and track maintenance requests.

Administrative Development: 10%

  • Apply and maintain department standards and specific business practices.
  • Anticipate and identify issues to initiate a corrective course of action.
  • Represent the department at meetings and conferences as required.
  • Act as liaison with PCOM administrative offices, plant operations, outside organizations and vendors.
  • Liaise with representatives from other departments to execute academic responsibilities
  • Train and supervise staff, assign tasks, coordinate office coverage
  • Perform other duties as assigned.

Position Requirements

Education

  • Bachelor’s degree is required.

Experience

  • 1-2 years of office administration and/or management experience.
  • Prior experience working in higher education plus familiarity with college/university personnel, policies, procedures is preferred.
  • Proficient use of computers with knowledge of Microsoft Office applications, G-suite applications and other internet-based applications.

Starting Salary: $42,000 anually



Compensation will be commensurate with the candidate’s experience, education, and the responsibilities of the role.
