Brief Description

The Project Specialist is responsible for providing project management administration and general administrative support to Project Managers to ensure efficient and effective project management.

Duties & Responsibilities

Analyze, review, process, and track design and construction documentation, which includes but is not limited to:

  • Capital Improvement Budget (CIB)
  • Project Schedule
  • Design Service Authorization (DSA)
  • Project Planning Guide (PPG)
  • Detailed Project Program (DPP)
  • Planning Studies
  • Cost Estimates
  • Cost Proposals/Field Orders (CP/FO)
  • Change Orders (CO)
  • Contract Approval (CA)
  • Requests for Authorization (RFA)
  • Design Change Approvals (DCA)
  • Requests for Information (RFI)
  • Architect Supplemental Information (ASI)
  • Submittals
  • Notice of Acceptance (NOC)
  • OSHPD Building Permits
  • OSHPD Project Fee Payment
  • Plan Account Augmentation Requests
  • Preliminary Notices
  • Input and maintain data in eBuilder, including entering project details, processing Cost Proposals/Field Orders/Change Orders, updating schedules and budgets, processing RFAs, CAs, PPCs, and PSAs, tracking escalations, and managing document uploads.
  • Coordinate calendars for Project Manager meetings, appointments, and teleconferences; manage project team correspondence both internally and externally.
  • Prepare and record Notices of Acceptance and Completion; prepare, route, and distribute Beneficial Occupancy and Substantial Completion Certificates; and file Submittals, RFIs, and close-out documents both manually and electronically. Supervise the document processing and filing by Project Specialist Assistants.
  • Verify information on OSHPD forms initiated by the Architecture/Engineering (A/E) team; track documentation progress on the OSHPD website; and oversee Project Specialist Assistants' identification of project invoices.
  • Perform other assigned duties as needed.

Requirements

Associate's Degree in a related field or equivalent experience.

A minimum of 2 years of experience in office administration or a related field, preferably within the architecture, engineering, and construction management industries.

Knowledge And Skills

  • Understanding of administrative office procedures and the operation of standard office equipment.
  • Proficient computer skills, including advanced knowledge of Word, Excel, PowerPoint, and Outlook.
  • Excellent verbal and written communication skills, with the ability to represent the company professionally.
  • Ability to maintain the highest level of confidentiality.

Work Environment

  • While performing the duties of this job, the employee frequently inspects projects and may be exposed to ongoing construction and various weather conditions while wearing personal protective equipment.
  • The noise level in the work environment may range from moderate to loud.
  • The employee may be subject to environmental conditions due to work activities occurring both indoors and outdoors.

Physical Requirements

  • This position is moderately active; the employee is frequently standing, walking, reaching, bending, kneeling, stooping, crouching, crawling, and climbing.
  • The employee may also be required to sit for long periods.
  • The employee may frequently lift and/or move items weighing up to 50 pounds.

Travel Requirements

  • Limited to no travel will be required for this position.
  • A valid Motor Vehicle Record with no restrictions or suspensions is necessary.
  • The ability to drive a motorized vehicle is required.
