Contracts Administrator (Onsite, Construction/Electrical Industry Exp)

Job Description

Contract Administration & Compliance:

  • Administer head contracts, subcontracts, purchase orders and variations across multiple projects and entities.
  • Review, interpret and understand contracts governed by Queensland legislation, including:
    • Building Industry Fairness (Security of Payment) Act (Qld)
    • Domestic and Commercial Building Contracts frameworks (as applicable)
  • Identify and communicate key contractual obligations, risks, time bars, notice requirements and commercial conditions to Project Managers.
  • Support contract execution, amendments and correspondence in line with internal Delegations of Authority (DOA).
Progress Claims & Commercial Management

  • Coordinate and manage monthly progress claims in collaboration with Project Managers.
  • Ensure claims are prepared accurately, supported by required evidence and submitted within contractual timeframes.
  • Track claim status, variations, approvals and payment milestones.
  • Support responses to payment schedules, claims for variation, EOTs and contractual notices.
  • Liaise with Finance to ensure alignment between claims, invoicing and revenue recognition.

Project Meetings & Stakeholder Engagement

  • Participate in regular project meetings via Microsoft Teams as required.
  • Conduct scheduled commercial and contract review meetings with Project Managers.
  • Act as a key point of contact between project delivery teams, finance, and commercial stakeholders.
  • Maintain strong working relationships with clients, subcontractors and consultants as required.

Project Documentation & Records Management

  • Establish and maintain comprehensive project records, including:
    • Contracts and executed agreements
    • Variations, EOTs and correspondence
    • Progress claims and payment records
    • Insurances, compliance documentation and approvals
  • Ensure document control aligns with internal systems (e.g. Simpro, SharePoint, Teams).
  • Maintain audit-ready project files in line with ISO 9001 quality management principles.
Risk, Governance & Continuous Improvement

  • Proactively identify contractual and commercial risks and escalate where required.
  • Support continuous improvement of contract administration processes across the Group.
  • Assist with internal reporting, audits and governance requirements.
  • Contribute to standardisation of templates, workflows and contract administration practices across all entities.

Qualifications

  • Bachelor's degree in Business Administration, Construction Management, or any related field.
  • Demonstrated experience as a Contracts Administrator or similar role within the construction, electrical, infrastructure or industrial sectors.
  • Experience managing progress claims and commercial documentation.
  • Sound understanding of Queensland construction contracts and legislation.
  • Strong organisational skills with exceptional attention to detail.
  • Ability to work collaboratively across multiple projects and business units.
  • Strong written and verbal communication skills.

Nice-To-Haves

  • Experience working with local government, state government or Tier 1 contractor contracts.
  • Exposure to electrical, power, infrastructure or switchboard manufacturing environments.
  • Understanding of ISO 9001 quality management systems.
  • Familiarity with Simpro, Microsoft Teams, SharePoint and project management systems.
