This 12 month contrac will consist in collaborating closely with the VP of Specialized Markets, to support and provide high-level administrative support, ensuring seamless operations and enabling the VP to focus on sales and strategic initiatives.

Your Main Tasks Will Include

Administrative Support:

  • Provide comprehensive administrative support to the VP Specialized Markets;
  • Manage emails, phone calls, expense reports, and budget tracking for the VP;
  • Provide other administrative support as may be required by the team.

Communication And Document Management

  • Draft, proofread, and edit correspondence, reports, presentations, and other business documents;
  • Coordinate and prepare internal and external communications, including member and partner communications;
  • Maintain and organize confidential files, records, client websites, Board software and document cataloguing systems.
  • Implement, process and document plan amendments.

Meeting Organization And Follow-up

  • Prepare agendas, motions, materials, and meeting notes, ensuring follow-up on action items;
  • Coordinate logistics for meeting venues;
  • Coordinate with internal and external partners to collect necessary information and documents for meetings.

Project And Workflow Management

  • Collaborate with other departments to facilitate project execution;
  • Identify and implement opportunities to improve processes and workflows;
  • Oversee materials and payments handled by the accounting department.

Operational And Problem-Solving Support

  • Address and resolve administrative and operational issues as they arise;

Required Qualifications

  • College diploma or equivalent experience;
  • Minimum of 2 years of experience in group insurance;
  • System integration experience;
  • CEBS certification, an asset;
  • Bilingualism in both official languages is considered an asset;
  • Knowledge of group health insurance plans for a multi employer or Flex environment, an asset;
  • Advanced computer proficiency incl. MS Office, Word and Excel and ability to learn new applications;
  • Strong mathematical, analytical and problem-solving skills;
  • Superior attention to detail;
  • Excellent oral, written, interpersonal, and communication skills;
  • Ability to multi-task effectively and work closely with others in a team environment and independently, must be a self-starter;
  • Ability to meet deadlines and work effectively under pressure of time limits.
