Job Summary

Own and execute the E2E operations procurement cycle for data centre sites in Dublin, ensuring compliant, timely, and cost-effective sourcing of services, materials, and critical spares that support uptime, safety, and lifecycle performance of MEP infrastructure.

Key Responsibilities

  • Procurement Execution & Compliance
  • Lead competitive sourcing, tender evaluation, and recommendations through to contract award and handover.
  • Ensure strict adherence to internal procurement policies, approval limits, audit trails, and segregation of duties.
  • Review and validate supplier invoices, variations, and claims against contract terms, SLAs, and site acceptance criteria.
  • Coordinate onboarding of new suppliers, ensuring completion of vetting (financial, HSE, ESG, cybersecurity as applicable).
  • Contract & Supplier Management
  • Liaise with internal legal team and administer preventive maintenance service agreements and O&M contracts; monitor SLAs/OLAs, penalties, and renewals.
  • Maintain an Approved Vendor List with performance ratings, escalations, and corrective action tracking.
  • Facilitate supplier reviews and post-incident debriefs; drive continuous improvement actions.
  • Cost, Budgeting & Lifecycle
  • Support annual Opex budgeting with robust baselines and assumptions; track actuals vs. plan and forecast run-rate.
  • Maintain an operations cost database (materials, labour, spares, contracted services) to enable benchmarking across sites.
  • Build and maintain lifecycle cost (Post Handover) models for key data centre assets (UPS, switchgear, chillers, CRAH/CRAC, liquid cooling plant).
  • Identify cost reduction opportunities
  • Critical Spares & Inventory Control
  • Execute purchase and replenishment (“top-up/refill”) orders; reconcile receipts, usage, and stock variances.
  • Refresh Works (MEP)
  • Run compliant sourcing for MEP refresh/refit projects: market engagement, tender, evaluation, negotiation, award, and close-out.
  • Align scope, technical specs, method statements, and commissioning criteria with Technical and Operation Team
  • Manage commercial change control, instructions, and final account
  • Data, Reporting & Governance
  • Publish monthly dashboards: spend by category/site, savings/avoidance, supplier performance, claims status, inventory KPIs.
  • Safekeep contracts, drawings, performance bonds, insurance certificates, warranties, and final accounts (auditable repository).
  • Drive process improvement (lead times, first-time-right PO/GR, automation, template standardization).

Working Environment

  • Primarily office-based with regular collaboration across departments and regions.
  • Occasional travel to active construction and operational data center sites for inspections, meetings, and contract assessments.
  • The role may involve working in high-security environments and exposure to technical equipment areas where safety protocols must be strictly followed.

Key Requirements

  • 1 to 3 years experience in procurement or contract administration; data centres or heavy MEP Infra preferred.
  • Solid understanding of engineering procurement, O&M contracts, and vendor qualification.
  • Working knowledge of data centre operations (Preferably a level of understanding on MEP systems)
  • Diploma in Building Services/Facilities/Engineering or equivalent.
  • Proficient in MS Office (Excel advanced: lookups/pivots)
  • Strong written and spoken English; additional European language an advantage.
  • Meticulous, analytical, proactive, and able to work independently to tight timelines.
