Position Summary

The Administrative Assistant provides comprehensive administrative, coordination, and communication support to senior leadership and Board members. The role manages complex calendars, screens and responds to inquiries, coordinates meetings and events, and ensures timely flow of information across departments. Responsibilities include preparing and maintaining documentation such as agendas, minutes, reports, and correspondence; supporting committee work; and maintaining records in accordance with Board policies. The position also performs financial and administrative tasks, including budget tracking, processing invoices and purchase orders, monitoring grants and funding, and coordinating procurement within policy guidelines. The Administrative Assistant supports special projects and annual events and provides backup coverage to other administrative staff as required.

What You Bring To The Team

  • Completion of certificate in office Administration
  • Minimum of three years of work experience in office administration, preferably within a school board
  • Broad working knowledge of administrative practices and procedures
  • Knowledge of Board Policies and Procedures, and various legislation such as Freedom of Information and Privacy Act and Education Act.
  • Strong technology skills with proficiency in Microsoft Office applications
  • Excellent interpersonal and communication skills
  • Effective verbal and written communication skills
  • Excellent organizational and time management skills
  • Self-motivated, self-directed, with strong initiative and ability to work independently, as well as an effective member of a team
  • Strong customer service focus with a desire to learn and develop as an Administrative professional
