What You’ll Do

As an Administrative Coordinator, you will play a key role in keeping our office running smoothly while supporting multiple departments across the organization. You will serve as a central point of contact for employees, vendors, and clients, helping ensure clear communication, efficient operations, and a seamless day-to-day experience. In this role, you will manage a variety of responsibilities, stay organized across competing priorities, and proactively solve problems as they arise. Your attention to detail, strong multitasking abilities, and collaborative mindset will help maintain an organized environment and keep workflows moving efficiently across teams.

  • Office Operations: Oversee daily office procedures, manage office supply inventory and coordinate ordering with the Operations Manager, maintain a clean and professional conference room environment, and assist with occasional light cleaning. Support tax return processing, including calling clients for pickup, tracking e-filing forms, following up with clients for required documents, and maintaining accurate form schedules and scanned records.
  • Scheduling & Event Coordination: Manage calendars, schedule meetings and appointments, and support coordination of internal events, meetings, or special projects as needed.
  • Communication & Support: Serve as the primary point of contact for incoming calls, emails, and correspondence, routing communications appropriately while providing administrative support to managers and senior staff.
  • Documentation & Record Keeping: Prepare, format, and distribute reports, presentations, and correspondence. Maintain organized physical and digital filing systems, ensuring all information is accurate, secure, and easily accessible.
  • Financial Administration: Assist with light bookkeeping tasks, including processing invoices, tracking expenses, and supporting budget-related activities.
  • Process Improvement: Evaluate current administrative processes and recommend improvements to increase efficiency and productivity across office operations.

What You’ll Bring

  • Education: You have a high school diploma or equivalent; an associate or bachelor’s degree in business administration or a related field is preferred.
  • Experience: You bring 2–4 years of experience in an administrative, office management, or project coordination role. Experience within a CPA firm or similar professional services environment is a strong plus.
  • Technical Skills: You are highly proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable using office equipment, communication platforms such as Zoom or Teams, and databases or CRM tools like SharePoint or Smartsheet.
  • Core Skills: You demonstrate strong organizational, time management, and multitasking abilities. You communicate clearly and professionally, maintain a high level of attention to detail, and handle confidential information with discretion.

  • Compensation: This is an hourly position with a pay rate of $15.00–$20.00 per hour, based on your experience and qualifications.
