Position Overview And Key Responsibilities

Position Summary

The Accounts Payable Associate is responsible for processing, verifying, and reconciling invoices and expenses within the organization. This position ensures that all payments are made in a timely and accurate manner, adhering to company policies and relevant regulations. The associate also manages the company’s travel and expense card program, overseeing usage, compliance, and troubleshooting card-related issues. In addition, the role includes managing payment runs, ensuring scheduled payments to vendors are completed efficiently and accurately. The ideal candidate will possess strong attention to detail, excellent organizational skills, strong written and verbal communication skills, and the ability to work collaboratively within a finance team.

Key Responsibilities

  • Review and process vendor invoices and credit memos for accuracy, appropriate approvals, and proper coding.
  • Match purchase orders, receiving documents, and invoices to ensure completeness and accuracy of transactions.
  • Prepare and process electronic transfers, payments, and check runs on a regular schedule.
  • Manage payment runs, ensuring timely and accurate disbursement of funds to vendors and service providers.
  • Respond to vendor inquiries and statements and resolve discrepancies in a professional and timely manner.
  • Assist with monthly, quarterly, and year-end closing processes, including account reconciliations and reporting.
  • Maintain organized and up-to-date accounts payable files and documentation.
  • Coordinate with internal departments to resolve invoice and payment issues.
  • Support audits by providing requested documentation and explanations as needed.
  • Maintain confidentiality of financial information and adhere to company policies and procedures.
  • Administer and oversee the travel and expense card program, including card issuance, monitoring transactions for policy compliance, and assisting employees with card-related inquiries or issues.

Qualifications

  • High school diploma or equivalent required; associate’s or bachelor’s degree in accounting, finance, or related field preferred.
  • 1-2 years of accounts payable or general accounting experience preferred.
  • Familiarity with SAP S4 accounts payable modules and proficiency in Microsoft Office, especially Excel.
  • Strong attention to detail and accuracy in data entry and financial recordkeeping.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks, manage time effectively, and meet deadlines.
  • Demonstrated problem-solving skills and ability to work independently and in a team environment.
