Deree – The American College of Greece is seeking a qualified candidate for the position of Faculty Assistant. The Faculty Assistant reports to the School Deans and provides administrative and operational support to Faculty Administrators (Department Heads, Program and Area Coordinators) and the respective Dean’s Office, ensuring the smooth daily operation of academic departments, programs, and areas within the undergraduate schools.
Main Responsibilities:
- Provide administrative support to Faculty Administrators and the Dean’s Office
- Assist with matters related to faculty needs to ensure proper course operation according to college requirements
- Provide administrative support for departmental and school committees
- Support communication with internal and external stakeholders
- Assist departments/programs with validation-related matters and events
- Assist with the collection and organization of departmental information
- Support the organization of departmental events, student registration processes, and graduation-related activities
- Liaise with Technical Services and IRM to arrange equipment and technological support
- Update department/program websites and social media content as needed
- Perform any other duty as assigned by the supervisor
Exam Office Support Responsibilities:
- Follow and implement established exam invigilation procedures and instructions
- Photocopy and scan examination papers while maintaining a detailed record of all materials
- Ensure the secure storage of examination papers in locked cabinets within the Exam Office
- Collect and submit student scripts to the Exam Office for secure storage until the Board of Examiners meetings
- Support preparation processes related to the Board of Examiners meetings
Required Qualifications:
- Bachelor’s degree required
- Related administrative experience is highly desirable
- Excellent command of the English language (oral and written)
- Proficiency in MS Office applications (Word, Excel, PowerPoint)
Required Skills and Competencies:
- Excellent communication and interpersonal skills
- Accuracy and attention to detail in completing tasks in a timely manner
- Ability to prioritize and manage multiple tasks in a fast-paced environment
- General knowledge of university curricula, academic policies, and procedures is desirable
- Ability to handle confidential information with discretion
