U.S.VETS—the nation’s largest nonprofit dedicated to preventing and ending veteran homelessness—is seeking a Program Assistant to provide administrative and operational support for our Las Vegas programs.
This role is ideal for someone who enjoys balancing organization, problem-solving, and teamwork while supporting a mission-driven organization.
The Opportunity
As a Program Assistant, you will play an important role in supporting program operations through administrative coordination, reporting, purchasing, file management, and operational support. You will work closely with program staff, operations, accounting, and leadership teams to help ensure services are delivered efficiently and in compliance with program requirements.
This is a role for someone who notices details, stays organized under pressure, and understands that strong operations support directly impacts client services.
What You’ll Do
- Maintain Program Records: Support client file management, database updates, and audit preparation
- Track & Reconcile Financials: Assist with petty cash, rent collection, reimbursements, invoices, and expense tracking
- Coordinate Purchases & Supplies: Monitor inventory, submit purchase requests, and track vendor balances
- Support Program Operations: Assist with intake documentation, orientations, and supportive service coordination
- Assist with Reporting: Compile data for grant reporting, billing, and budget tracking
- Coordinate Events & Volunteers: Support planning for events, volunteer projects, and community activities
- Support Human Resources Activities: Assist with interview scheduling, onboarding coordination, and training tracking
- Provide Administrative Support: Assist managers, staff, and interns with operational and administrative needs
- Coordinate Mail & Deliveries: Track shipments, donations, and outgoing mailings
- You are organized and highly detail-oriented
- You can manage multiple priorities without losing accuracy
- You communicate professionally and follow through consistently
- You are proactive and willing to step in where needed
- You work well independently while also supporting a team environment
Qualifications
- Minimum of 1 year of experience in social services or related field (Employment at U.S.VETS for at least 3 months may substitute for experience)
- Strong computer proficiency, including Microsoft Office applications
- Strong organizational and administrative skills
- Excellent written and verbal communication skills
- Ability to manage both short-term tasks and long-term projects
- Bachelor’s degree preferred
- Knowledge of veteran services, homelessness, or community resources is a plus
